OHF’s 6-Step Timeline for Organizing Overseas Programs

(Minimum 3 Months Required)
Step 1: Submit Request (3+ Months Before Trip)
- Task: Email OHF (volunteer@ohf.org.sg) with:
- Preferred trip dates
- Team size (e.g., 15 students + 2 teachers)
- Activity choice (e.g., house-building)
- Why? OHF needs time to confirm project availability and assign staff.
Step 2: Secure Slot (Within 14 Days of Confirmation)
- Task: Pay SGD 300 non-refundable deposit to lock dates.
- Why? Popular slots (e.g., school holidays) fill quickly.
Step 3: Confirm Trip (2+ Months Before)
Tasks:
- Read & Sign OHF’s Terms and Condition, Regulation, and indemnity form.
- Book flights (only after OHF’s written confirmation), purchase travel insurance.
- Review OHF’s proposed itinerary and in-country costs (~SGD 200–300/student).
- Why? Avoid last-minute flight price surges.
Step 4: Final Payments & Docs (1 Month Before)
Tasks:
- Pay remaining team donation (estimated. SGD 350–450/pax).
- Submit indemnity forms and finalised namelist.
- Why? OHF orders materials and schedules labour in advance.
Step 5: Pre-Trip Briefing (1–2 Weeks Before)
- Task: Attend OHF’s mandatory briefing covering:
- Safety protocols (tools, worksite rules).
- Cultural do’s/don’ts (e.g., dressing modestly).
- Packing list (gloves, waterproof shoes).
- Vaccination (if preferred)
- Why? Prepares to volunteer for rural conditions.
Step 6: Trip Departure
Task: Arrive in Cambodia! OHF staff handle ground logistics.
Why 3+ Months?
- Grant Applications: Schools using YEP grants need extra time for Youth Corps SG approvals.
- Fundraising: Bake sales/sponsorships can take weeks.
- Student Prep: Cultural training and team bonding can’t be rushed.
Example Timeline for a June Trip:
- March: Email OHF, secure slot.
- April: Book flights, launch fundraising.
- May: Final payments, pre-trip sessions.
- June: Depart!
Pro Tip: For large teams (20+), start 4–6 months ahead to coordinate logistics smoothly.
